      Finance teams may often need to be resourceful. When a system doesn’t quite do what the business needs, someone might build a spreadsheet to fill the gap. When an approval needs to happen, it could go out over email or through a quick check in with a colleague. When leadership needs a report a certain way, someone might assemble it by hand. These manual workarounds may help get things done, but they may also carry costs that are easy to miss because they don’t show up as a line item on the financials. Instead, they could masquerade as lost time, errors, and the delayed decisions that wait on numbers. Here’s where to look and how to potentially fix them.

      What “Manual” Means for Finance Teams Today

      Finance teams may not be using paper ledgers anymore. Manual finance processes today may be more about people moving data between systems that don’t talk to each other, re-keying figures into a spreadsheet or the general ledger, or routing approvals through inboxes instead of a defined workflow. The gaps between the various manual tools could be where work might pile up — and where hidden costs might collect.

      These manual processes may persist because the work still gets done and fixing them could compete with daily deadlines. But waiting could make it harder and more costly for growing businesses. Volume might climb and leadership might want reporting sooner, and your staff may not have the bandwidth. Needing to add more people just to keep up might be a sign the process isn’t scaling. Those lost economies of scale could be a potential hidden cost that might grow right along with the business.

      Why These Costs Stay Hidden

      Manual processes may accumulate organically. A company could start small, a few people may handle everything by hand, and it may work for a while. As the business grows, those same routines might stay in place because they’re familiar and because replacing them seems like too much effort. This isn’t necessarily a sign of poor management — rather, it’s how some growing businesses operate.

      But the inefficiencies may be real, and the costs may be hidden because they aren’t concentrated in one place. Instead, they may be sprinkled over many small tasks that take up a few minutes here or an afternoon there.

      Take printed checks, for example. Their real costs may go beyond the postage or the per-check fee. Instead, businesses might pay for the staff time spent cutting, matching, and routing them for signature, plus the rework when one has to be chased down or reissued. In other words, that accumulated labor may rarely get counted as a payment cost — it may show up as payroll, indistinguishable from other work the finance team does.

      Where to Look for Hidden Costs in Your Finance Operations

      Ask the finance team where they spend time and they may reveal all the manual handoffs. It could be a good idea to start looking there for hidden costs, because these junctures might cost you twice. First, in the real hours and dollars spent. Second, in what those hours could have been — the opportunity costs of the financial analysis not done or the decision made too late. Both kinds of costs may collect in the same few places.

      Productivity and Team Capacity

      Consider starting where the team might be spending its hours: Manual processes like exporting data, reformatting spreadsheets, matching invoices to purchase orders, and tracking down sign-offs could eat time. Those hours may carry costs beyond payroll because every task also pulls in systems and expenses. 

      Those costs could scale with the business, since each new vendor or client might add more transactions, more matching, and more sign-offs. What’s more, an hour spent cleaning up data may be an hour that could be spent on forecasting or analysis.

      There’s a potential hidden human cost, too. It might be hard to retain skilled accountants tasked with a steady diet of manual work, especially considering the challenges of finding qualified talent.

      Approvals and Bottlenecks

      Follow the approval trail. Manual routing may be hard to monitor because requests might sit in inboxes while approvers are on vacation, or invoices could mistakenly get sent to the wrong person — which may start the process over. Without a clear record of where things stand, it may be hard to tell whether an approval is moving or stuck until a vendor calls asking about payment.

      Those delays could add other costs. Late approvals could push back payments, which could strain supplier relationships. A supplier that stops trusting you to pay on time could tighten terms or ask for payment up front. Or they might move you down the list when inventory is short, hesitate on a rush order when you need a favor, or think twice before extending credit on the next purchase. Late payments could also result in the loss of early payment discounts.

      Reporting and Decision-Making

      Watch the close. If it’s creeping longer, manual reporting may be why — and it could carry both an obvious cost and a hidden one. The obvious cost could be the time. A team that spends the month pulling and formatting data may have less time for strategic tasks like forecasting and analysis. And by the time actuals are final, they might already be stale. Decisions therefore might get made with reports that are a step behind the business. When one of those decisions turns out poorly, it might look like a judgment problem when it’s really a potentially hidden cost of manual reporting.

      Errors and Business Performance

      Try to count the errors your team catches and fixes. Re-entering the same data into more than one system could trigger more mistakes like transposed numbers, duplicate entries, or a customer name entered several different ways. The thing is, many of these errors might get caught and fixed, which is exactly why their costs might stay hidden. Is anyone tallying the hours spent hunting down a wrong number or struggling through reconciliations?

      The errors that do slip through could also add costs. A duplicate payment, for instance, might tie up cash until someone catches it. A general ledger miscoding caught months later, during the audit, may be more difficult to unwind than if the fix had been made sooner. If mistakes are related to customers or suppliers, the company’s reputation could take a hit. Even internally, frequent errors could help make financial reports less reliable and cause people to start double-checking work, which might take up even more time and slow more decisions.

      Manual steps may also weaken internal controls. And without strong controls, it may be easier for costly mistakes or irregularities to go unnoticed.

      Ways to Help Reduce These Hidden Costs

      Teams may start chipping away at costly tasks, a few processes at a time. A handful of broad approaches may help, from standardizing routine work to automating predictable processes. Consider:

      • Standardizing the routine work: Having a defined method that is clearly documented could help make the process easier to hand off and review. It also could help lower key-person risk, so the process is less dependent on any one person’s knowledge.
      • Connecting the systems already in place: When data flows automatically between systems, there may be less retyping and less manual reconciling because the same information doesn’t need to be entered twice or matched after the fact. Some software offers built-in connectors, while others may need third-party tools or custom coding work. Complexity varies, but even modest connections could help reduce manual effort.
      • Automating the predictable parts: Once a process is standardized and the data flows cleanly, the repetitive pieces — such as routing an approval or posting a recurring entry — may be programmed to run on their own. Rules-based workflows could help manage by exception, helping to streamline the routine and escalating only the outliers to humans for nuanced judgment.

      The Bottom Line

      The hidden costs of manual finance processes may stem from lost time, stalled approvals, errors, and decisions made with outdated information. They may manifest in slower reporting, more difficult cash-flow management, and a finance team focused on keeping up instead of looking ahead. Add in the opportunity cost of the work all this might push off, and the overall hidden toll could be worth trying to find.
