Roles
There are several roles and responsibilities in the day-to-day management of your American Express® Corporate Card Program. They are:
Authorized Signatory
They are authorized to act on behalf of the company to approve changes to the Corporate Card Account and to help ensure the security and privacy of the Account.
This role is typically assigned to a senior individual within the organization who:
- Is authorized to approve and countersign agreements and request changes to the American Express Corporate Card program
- Commonly holds titles such as Financial Controller, Chief Financial Officer, Managing Director, Partner, Accounts Payable Manager, or General Manager
Program Administrator
As the Program Administrator, your role is to manage the day-to-day operations of your company’s Corporate Card Account, including:
- Acting as the primary day-to-day point of contact between your company and American Express
- Managing the program post-implementation, including Cardmember changes and reporting
Central Card Distribution Recipient
A Card Distribution Recipient is the nominated employee authorized to receive all Corporate Cards on behalf of the company at a centralized address. The Card Distribution Recipient is responsible for the secure distribution of Cards to the appropriate employees.
Account Hierarchy
To every Corporate Card account, there’s a hierarchy which represents the structure or operational framework of the Corporate Card Account. You can discuss the hierarchy setup with your Account Manager. Click here to know more.
Corporate and Combined Liability Options
Joint & Several Liability
- Company and the Cardmember are jointly and severally liable for all Charges on the Corporate Card.
- Company agree to provide us with reasonable assistance to collect overdue amounts from Corporate Cardmembers/former Cardmembers, including but not limited to details of the Cardmember’s last known address and telephone number, use of the Card or Account by the Cardmember.
- Company must notify us immediately if a Corporate Cardmember’s authority to incur Charges terminates (due to termination of employment or any other reason). You will be jointly and severally liable with the Cardmember to pay us for all Charges incurred until we receive notice of such termination from you.
- Company will use your best efforts to collect and destroy Cards issued to individuals whose authority to incur Charges is terminated, who leave your employment for any reason or whose Cards have been cancelled

Limited Liability
- The Cardmember is liable for all Charges on the Corporate Card, except that Company are liable for: (1) Charges incurred for business expenses on your behalf and in accordance with your policies but for which Company have not reimbursed the Cardmember; (2) Charges incurred on the Card between the termination of the Corporate Cardmember’s employment and receipt of notification of such termination from Company; and (3) Annual Card fees, if Company have chosen to receive central billing for such fees. (4) Business Commodity Charges.
- Company and the Cardmember are not liable for unauthorized Charges on the Account, which means Charges that did not benefit either you or the Corporate Cardmember and which were incurred by someone who was not the Cardmember and who had no actual, implied, or apparent authority to use the Card.
- Company agree to provide us with reasonable assistance to collect overdue amounts from Corporate Cardmembers/former Cardmembers, including but not limited to details of the Cardmember’s last known address and telephone number, use of the Card or Account by the Cardmember and reimbursement by Company of Charges incurred by the Cardmember.
- Company must notify us immediately if a Corporate Cardmember’s authority to incur Charges terminates (due to termination of employment or any other reason). Company will be jointly and severally liable with the Cardmember to pay us for all Charges incurred until we receive notice of such termination from you.
- Company will use your best efforts to collect and destroy Cards issued to individuals whose authority to incur Charges is terminated, who leave your employment for any reason or whose Cards have been cancelled. Company agree to be solely liable for all Business Commodity Charges on the Corporate Cards. Company also agree to be liable for Business Commodity Charges, regardless of whether we have previously authorised such Business Commodity Charges via a merchant’s electronic terminal or otherwise. If we do not receive payment in full of all Business Commodity Charges made on Company account, we reserve the right to report this information to a credit rating agency.

Sole Liability
- The Company is solely liable for charges to the account as a result of use of the Corporate Card issued to the Company. The Company expressly accepts all risks of fraud or misuse on the Card by any agent, or by any traveler, or employee or any other third party and the Company will not be relieved of any liability they may have towards AEBC in connection with the acceptance of any such Charge.
- AEBC shall not be liable for any act or omission of any air carrier, Agent or other firm providing goods or services including any defect of deficiency in goods or services or any representation made by any merchant The Company will handle any claim or dispute directly with such firm/merchant and will not withhold payment from AEBC on account of any such claim or dispute.
- AEBC, will send to the Company monthly statement of all charges to the Corporate Card Account(s) made by the use of the Corporate Cards. All such statements shall be settled in accordance with the conditions of the Corporate Cardmember Agreement.
- Company’s liability for charges to the Corporate Card Account shall in no way be affected by the dispatch of the monthly statement of charges to the Corporate Cardmember whether in accordance with its directions or not.
- The Company agrees to notify AEBC, immediately of change in its billing address.
- The Company must notify AEBC immediately if an Account User’s authority to incur Charges on the Company’s behalf terminates (due to termination of employment or any other reason) and the effective date or expected date of termination. The Company shall remain liable to pay AEBC for all Charges incurred until receipt of notice of such termination by AEBC. The Company shall use its best efforts to collect and destroy Cards issued to individuals whose authority to incur Charges is terminated, who leave the employment for any reason or whose Cards have been cancelled. The Company must notify AEBC as soon as it becomes aware or has reason to suspect that a Card is lost or stolen or if a Card or Account is at risk of being misused.

Billing and Payment Options
Centrally Billed, Centrally Paid
Central billing combines all Cardmember statements into one group that is sent to a central contact. Your Company remits payment for all charges on all Card Accounts.
The benefits offered by the centrally billed, centrally paid option include:
- Allows a single electronic transfer transaction or a single direct debit
- Improves cash flow
- Increases Cardmember convenience
Individually Billed,
Centrally Paid
This option lists each transaction on a Cardmember basis. Each Cardmember receives an individual monthly billing statement that identifies all charges. Once Cardmembers have submitted their expenses, your Company has a choice of paying by Autopay, variable Direct Debit, bank standing order, telegraphic transfer, Payment by Phone Service or Electronic Transfer. Telegraphic transfer and electronic remittance payments need to be accompanied by a remittance advice including backup information on how to allocate the funds.
Managing billing and payment in this manner has benefits for your Company, including:
- Improves cash flow
- Retains control over payment
- Encourages accurate documentation of expenses
- Reduces the number of reimbursement cheques written
Individually Billed, Individually Paid
With this option, each Cardmember receives a monthly billing statement from American Express. The Cardmember is responsible for submitting expense reports to the Program Administrator for reimbursement and remitting payment back to American Express.
The benefits of this approach include:
- Reduces the amount of change for the Cardmember and your Company at implementation stage
- Encourages timely submission of expense reports, as the Cardmember is responsible for reconciliation and payment
- Encourages accurate documentation of expenses
- Reduces corporate administrative workload and cost since employees reconcile and pay monthly bills
- Allows Cardmembers to put personal expenditure on their Card if this is permitted under Company policy

Tools for Cardmembers - Manage Your Card Account (MYCA)
MYCA provides a one-stop platform for Cardmembers to manage their Cards, from online statement download, transaction checking, to Membership Rewards® redemption. Cardmembers can activate Card, download PDF statements, make payments, and view transactions, etc. all in one place

There are a number of methods for paying an American Express Corporate Card statement. The payment methods available depend on whether your Company or the Cardmember pays the statement.
UPI
- On your UPI app, Your American Express UPI VPA is AEBC3XXXXXXXXXXXXXX@SC (Please ensure that you put your complete 15-digit Card number beginning with 37 or 34). You can directly pay from your UPI app via this method.
OR
- Open your American Express® App & tap on “Make payment” Option and enter your 15 -digit card number (Please ensure that you put your complete 15-digit Card number beginning with 37 or 34) and enter the payment amount. Click on proceed to pay.
- Select the appropriate method which is UPI and along with this select the preferred supported UPI App.
- Once you select the Preferred UPI App, payment screen opens on UPI App. Click on “Send” or “Proceed” button and enter your UPI PIN.
- Once the payment is done you will be prompted payment confirmation on UPI App and Amex app.
Initiate your funds transfer before 5:00 pm for next day credit to your American Express Card, excluding Sunday and banking holidays. Also make sure to put in the correct Card number to avoid a transaction failure.
Important Note:
- Subject to timely processing by your bank.
- A reference to weekends includes working days falling on either a Saturday or a Sunday of any given week as notified by the Reserve Bank of India or by any other relevant authority. A weekend, however, does not include any holiday as notified by the Bank or by any relevant authority.
NEFT/RTGS/IMPS
Settle your American Express Card bill payments online the very next day from any bank through National Electronic Funds Transfer (NEFT). Make sure to fill in the following details while registering your Card as a Payee.

Bank Name - Standard Chartered Bank

In case you are making a payment via Standard Chartered Online Banking, the IFSC code is not required. You may select the option 'Transfer to another SCB bank account' to process the payment.
Online Payment
Pay your American Express Card bill online directly from your bank account from any place, anytime. This service is currently available for more than 50+ participating banks in India.
We also accept payments through following electronic modes:
(i) Debit Card powered by RuPay
(ii) Unified Payments Interface (UPI) (BHIM -UPI)
(iii) Unified Payments Interface Quick Response Code (UPI QR Code) (BHIM-UPI QR Code)
Your payment will be credited to your American Express Card account within 1-2 business days subject to timely processing by your bank.
Autopay/NACH
Corporate Cardmembers can enrol* for Autopay from their Bank account and credit the Card Account with the total amount due in the monthly statement through the National Automated Clearing House (NACH) Debit option introduced by the National Payments Corporation of India(NPCI).
A. Online Enrolment
You can easily request for Autopay of your monthly Card bills through an online enrolment form*. Your enrolment will be complete in 5 business days.
OR
B. Paper-based form
Click here to download the form Corporate Card - Autopay enrolment form. Your enrolment will be completed within 3-4 weeks.
Cancellation
To cancel your existing NACH, contact customer service.
Cancellation request may take 5-6 business days to be processed.
Payment for the already generated statement will still be auto-debited (unless already paid)

- If accessing the form using a desktop, it is advised to use Google Chrome
- For Individual Liability Corporate Cards – NACH/e-NACH debit should be enabled from the individual Cardmember’s personal bank account.
- For Sole Liability Corporate Cards – NACH/e-NACH debit should be enabled from the Company’s bank account.
- For Joint and Several, Limited Liability Corporate Cards – NACH/e-NACH debit should be enabled either from the
- (i) Company’s bank account or (ii) the individual Cardmember’s personal bank account.
- The corporate e-NACH form is applicable for whom payment falls on 21st day from the statement generation date.
- The corporate authorized individual is advised to keep their online banking credentials handy while initiating online enrolment of NACH.
Courier
Please make the cheque/draft payable to "AEBC Card No. 3XXX XXXXXX XXXXX". You’ll need to send your cheque/draft to American Express Banking Corp. Cyber City, Tower 'C', DLF Building No. 8, Sector 25, DLF City Phase II, Gurgaon-122002, Haryana.
It’s important to know that bill payments made via cheque will not be credited to your Card account until we receive confirmation of the funds from the bank.
A Delinquency Fee is levied if American Express does not receive full payment of the Amount Due (as shown on the monthly statement) by the Due Date. The Delinquency Fee will be levied at the rate of 3.5% on the unpaid balance (with a minimum monthly Delinquency Fee being ₹100), in the next monthly billing statement until the payment is received in full.
Sample Illustration - A Cardmember has a total amount due of ₹12,000 payable by Due Date. If the Cardmember does not pay this full amount by the Due Date, the Delinquency Fee that will appear in the next month’s Statement of account will be: 3.5%*12,000 = ₹420. Thus, the Cardmember would be charged ₹ 420, which is the Delinquency Fee payable. If the Cardmember does partial payment by the Due Date, that will be adjusted with the total outstanding on which the Delinquency Fee will be levied and Delinquency Fee that will appear in the next month’s Bill Statement will be calculated as: Total Outstanding ₹ 12,000, payment made ₹ 2,000 by due date, Delinquency Fee = 3.5% *(₹ 12,000-₹ 2,000) = 3.5% *₹ 10,000 = ₹ 350
Please note that the delinquency fee stated in the example above is exclusive of Goods and Services Tax (GST). Goods and Services Tax (GST) will be billed on the delinquency fee charged as per applicable rates
